Helpful Tips:
Insurance: We bill your insurance company as a courtesy to you. Your policy is a contract between you and your insurance company. You are ultimately responsible for payment of your account even with insurance.
You can help the insurance billing process by keeping us informed about any changes to your policy. Please tell our Front Office Representatives upon arrival to our office if your name, address, phone number, or insurance company has changed since your last visit. Please be prepared to provide us with your insurance card so we can make a copy for your medical records. Since all insurance companies and plans vary, we do not know what your insurance company will or will not pay. It is always good for you to contact your insurance company ahead of time to verify what benefits you will be allowed.
Fees: Fees for services rendered at our office are standardized for the community. At your request we will quote rates for routine procedures and office visits. We want our patients to understand our charges and be satisfied that they are reasonable and equitable.
Past Due Accounts: All outstanding accounts that are 90+ days past due will be reviewed prior to each visit and a personal payment may be required prior to any services. Other payment arrangements may be made.
Appointments: Call in advance for appointments in order to assure that your doctor is available. Routine office visits are allotted 15-30 minutes. If you need more time, you may request it when you schedule the appointment. Physical exams and annual check ups are allotted more time and should be scheduled 8-10 weeks in advance.
We realize your time is valuable and we will make every effort to honor appointment times. However, emergency situations are unpredictable and can cause delays. If it is not convenient for you to wait, you may reschedule your appointment.
Missed Appointments: 24-hour notice is required for cancellation of your appointment. You may be charged for the “Office Visit” if you fail to notify our office of the cancellation. If you arrive late for your appointment, your doctor’s schedule will be reviewed to see if there is still time to be seen. If it is not possible to accommodate you in the time available, you will be asked to reschedule
Prescription Renewals: Your prescription will be called in to your pharmacy within 48 hours of your called in request. Routine renewals are not done outside regular office hours. To expedite the service, call your pharmacy 48 hours before your medication is exhausted.
Mail-in renewals, the patient is responsible for having the mail-in pharmacy send a faxed request. If this cannot be done then the prescription script will be available for pick-up. Due to time constraints (being placed on hold for 15-30 minutes) mail-in pharmacies will not be called by our office. Mail-in pharmacies are more than welcome to contact us.
Telephone Calls: Our Phone Representative and Front Office staff screens all calls. Requests for test results, appointment scheduling, and prescription renewals will be handled by these representatives at the time of the call. A written message will be taken and given to your doctor’s nurse if a call back is necessary.
Telephone Menu: In the case all of our phone lines are busy you will be transferred to our menu. This will allow you to leave a message regarding scheduling appointments, billing issues, prescription refills, and requests for a call back. Please remember that the representatives are here to help you. Help them by providing all the information they ask for. This will help the nurse or doctor once the message is given to them.
